How to Hire an Epic Consultant (Without Wasting Weeks on Resumes)
Epic staffing is a precision problem, not a volume problem. Here's how to scope the role correctly and screen candidates against what actually matters.
Start with the module, not the title
“Epic Analyst” and “Epic Consultant” are titles, not qualifications. The thing that actually predicts whether someone can do the work is which application they're certified in — EpicCare Ambulatory, Willow Inpatient, Resolute Hospital Billing, Beacon, Cogito — and whether their experience matches the type of project you're running. A go-live, an upgrade, and an optimization engagement call for different profiles even within the same application.
Before you write a job post, get specific: which application(s), which phase of the project (build, testing, training, go-live support, post-live optimization), and whether you need someone who's been through a full go-live before or someone who can do focused build work.
The four things worth actually screening for
- Exact certification match. Not “Epic experience” — the specific application certification your project requires, verified, not self-reported.
- Go-live count and role.Someone who's been through multiple go-lives in a build or command-center role has pattern-matched problems your team hasn't seen yet. For a go-live support engagement specifically, this matters more than years of tenure.
- Engagement fit. Contract (1099), W2 contract, corp-to-corp, or full-time — and short-term vs. open-ended. Mismatched expectations here are the most common reason placements fall apart in the first month.
- Availability, honestly stated.“Available now” vs. “open to offers” vs. “currently placed” changes your timeline more than almost anything else in the search.
Where organizations usually source Epic talent
There are three common paths, each with a real tradeoff:
- IT staffing agencies.Fast to engage, but you're paying a markup on top of the consultant's rate, and the recruiter screening candidates often isn't Epic-specific enough to tell certifications apart.
- Referrals and your own network.Highest trust, but slow and limited to whoever your team already knows — which doesn't scale when you need three certified analysts for a go-live in six weeks.
- A specialized marketplace. Search directly by certification, badge, availability, and rate instead of routing everything through a generalist recruiter. This is the gap fltrIT is built to close — flat-rate access to searchable, verified Epic profiles instead of per-placement markups.
Mistakes that add weeks to a search
The most expensive mistake is posting a generic “Epic Consultant” role and filtering resumes manually afterward — it front-loads the work into the slowest possible stage. The second is skipping credential verification and finding out mid-project that a candidate's certification is years lapsed or was on a different application than advertised. The third is not clarifying engagement length and remote/travel expectations up front, which is the single most common reason a placement that looked right on paper falls through after an offer.
Search by exactly what you need
fltrIT profiles are structured around the same specifics outlined above — certification, badge, knowledge track, go-live count, rate range, availability, and engagement preference — so you can filter directly instead of reading resumes to find the answer.
